THE ROLE
The Development Operations Manager reports directly to the Chief Development Officer (CDO) and plays a critical role in enabling Camelback’s ambitious fundraising strategy. The Development team is charged with raising $20M over the next three years to fuel Camelback’s next decade of impact. As the architect and steward of Camelback’s fundraising systems, the Development Operations Manager ensures that research workflows, data integrity, reporting, and operational infrastructure support effective fundraising, stewardship, and leadership decision-making. The Development Operations Manager oversees pipeline data management, stewardship execution, and development event operations, providing the systems, coordination, and follow-through that allow relationship managers to operate effectively. This role centers operational excellence, cross-functional coordination, and accountability, ensuring Camelback’s fundraising efforts are efficient, reliable, and aligned with organizational priorities.
KEY RESPONSIBILITIES
Systems & Data Leadership (35%)
Oversee development data management to ensure accuracy, timeliness, and integrity.
Maintain the CRM and accurate dashboards and reporting tools that track team and organizational fundraising performance.
Coordinate with Finance to reconcile revenue data and reporting.
Work with the Programs team to track outcomes tied to funded projects using defined grant tracking tools.
Partner with Communications to ensure donor materials use accurate data and impact stories (i.e. annual report, quarterly newsletter, donor/funder briefings)
Stewardship & Donor Engagement (25%)
Support execution of donor stewardship plans across all portfolios.
Oversee follow-up communicates for development events.
Provide support to the team in identifying funder and donor engagement and outreach priorities for convenings and conferences.
Draft and manage stewardship reports and touchpoints with accuracy and timeliness.
Manage and collaborate with Program team on tracking and monitoring of outcome data for grants
Ensure donor experiences are consistent, intentional, and reflective of Camelback’s values.
Prospect Research & Pipeline Development (15%)
Provide operational support to prospect identification work led by external contractors/consultants, ensuring findings are captured, analyzed, and integrated into Camelback’s systems.
Maintain updated donor/funder pipeline data and ensure alignment with tailored cultivation strategies.
Maintain accurate dashboards and fundraising reports that guide leadership and Board-level engagement.
Support fundraising goals by ensuring new, qualified opportunities are consistently entered and tracked in CRM and data management tools.
Provide research profiles using in-house template for new institutional funder prospects
Portfolio Support (15%)
Support the Development team in managing and updating engagement plans for donors and funders in the database to ensure timely execution of donor activity.
Working in collaboration with the Finance team, support execution of sponsorship agreements, including deliverables, recognition, and reporting.
Track and report on donor and sponsorship revenue and pipeline data.
Team Leadership & Mission Control (10%)
Working in collaboration with external contractors, manage Development grant/reporting deadlines, and prospect assignment processes, ensuring 100% compliance and timely submission.
Support CDO and VP of Development on campaign planning and moves management.
Serve as a bridge between Development, Program, and Operations, ensuring cohesion and clarity.
Strategic Direction & Special Projects (5%)
Contribute to annual fundraising strategy, including goal-setting, metrics, and forecasting.
Represent the Development team in internal planning meetings to ensure alignment with organizational priorities.
Support CEO, CDO, and VP of Development with preparation for major donor and partner meetings.

Expectations:
The Development Operations Manager is a builder and a doer. They are equally comfortable creating systems behind the scenes and supporting portfolio development. They thrive in fast-paced, mission-driven environments, bringing clarity, accountability, and a relational approach to fundraising.
Minimum 6 years of progressive experience in nonprofit fundraising and development operations.
Experience supporting portfolio management, with specific exposure to major gifts strategy and moves management systems.
Proficiency in design, use, and optimization of donor CRM platforms (Salesforce, Raiser’s Edge, or similar) with demonstrated ability to design/run reports, track pipelines, and use data to inform donor strategy and performance.
Demonstrated success in prospect research, stewardship, and fundraising systems.
Exceptional project management and organizational skills with attention to detail.
Proven ability as a self-starter, motivated by big goals, and creative + effective in approaches to goal attainment.
Experience designing systems and processes that improve efficiency and transparency.
Excellent research, analytical, and communication skills.
Strong relationship management orientation.
Ability to balance operational leadership and external-facing responsibilities.
Ability to travel up to 25% annually.
IMPACT & SUCCESS METRICS
Development team reaches team goal of raising $20M over three years.
Contributes to the Development team operating with clarity, efficiency, and accountability
At least 90% accuracy across donor, funder, and opportunity records
100% of gifts, pledges, and sponsorships entered into CRM within two business days of receipt
100% of active opportunities include stage, amount, probability, and next action at all times
Dashboards and leadership reports delivered on or before scheduled reporting deadlines
100% of grant submissions, renewals, and reports submitted on or before deadline
Zero instances of missed funder compliance requirements or reporting extensions
Initial donor and funder follow up completed within five business days for at least 95% of gifts and major events (donor events, Guardian Summit)
Annual impact reports delivered to funders on or before agreed timelines 100% of the time
Finance reconciliation completed monthly with no unresolved discrepancies carried forward

Salary Range: $90,000.00 - $120,000.00
